AI & productivity
AI for letters, minutes and reports
Give routine documents a clearer structure while keeping the facts under human control.
Practical skills. A clear purpose.
Learn how to move from notes and source material to a structured first draft. This workshop brings AI into familiar documentation tasks: official correspondence, meeting minutes, reports and presentation outlines. The focus is on preserving meaning, separating recorded facts from suggestions and reviewing the final document for the organisation’s requirements.
What you will practise
- Prepare source notes that make a drafting task easier to review
- Create a useful structure for a letter, report or set of minutes
- Keep decisions, actions and responsible parties distinct
- Apply a final review for accuracy, completeness and tone
Inside the workshop
From understanding to application.
Prepare the source
Organise notes, facts and instructions, and identify any missing information before drafting.
Build the structure
Set a suitable document outline, audience and tone using the organisation’s format where available.
Draft with traceable facts
Practise correspondence, reports and meeting documentation without inventing decisions or details.
Review for use
Check names, dates, numbers, commitments and action owners before exporting or circulating a document.
Who this is for
- Administrative and secretariat teams
- Officers who prepare correspondence and reports
- Staff responsible for meeting documentation and briefing material
The final outline, duration, materials and account requirements are agreed in the proposal. Share your team’s starting point and a suitable example of the work you want to improve.
Good questions
Before the session.
Can we use our department’s document template?
Yes. The format can be reviewed during planning and used with appropriate sample content. Any confidential or personal information should be removed first.
Can AI write accurate meeting minutes from rough notes?
It can help organise and draft the material supplied, but incomplete notes remain incomplete evidence. Participants practise flagging missing facts and verifying decisions rather than allowing the tool to fill the gaps.
Is the session suitable for Bahasa Malaysia documents?
Yes. Exercises can focus on Bahasa Malaysia, English or bilingual workplace documents, according to the team’s needs.
